Job Title: Food Safety and Quality Assurance Coordinator
Job Location: Salisbury, NC
Career Level: Sr. Hourly

Position Summary:
Directly support the Director of Food Safety & Quality Assurance along with the entire food safety and QA teams (office and field). Serves as our initial department point of contact for all internal business partners, distribution centers, retail stores and external contacts, including regulatory and government officials . Coordinates all administrative activities for department and regularly acts as key resource to expedite handling of questions/opportunities/problems for internal and external customers. Often times, provides technical and substantive information during these conversations on behalf of individual team members and department. Coordinates assignments within and between departments in their behalf, making every effort to promote an even flow of work. Responsible to review, compile, analyze, and create department reports summarizing regulatory activity, internal food safety and quality assurance results for our distribution and Our Brands QA teams. Tracks and responds to all official regulatory notifications. Assists with creating and publishing quarterly food safety scorecard. Maintains business continuity plans and crisis management plans for the department. Coordinates administrative and budget support for all team members.

Principle Job Duties and Responsibilities:
• Compile and report out quarterly Food Safety Scorecard for DA. Maintain all scorecard database including templates, spreadsheets and graphs to support reporting.
• Lend continuing support daily for Food Safety & QA team members.
• Maintain and manage all membership dues, fees and conference registrations for Food Safety team.
• Manage travel reservations for Director and team, as requested.
• Maintain Market Claims reporting for DC QA team.
• Maintain Food Safety certification failure report.
• Track and maintain monthly Grind Log Exception Report .
• Coordinate and report out Food Safety data for Corporate Sustainability reporting (quarterly updated and annual results).
• Assist with data collection, entry and analysis as it relates to regulatory compliance, internal food safety inspections and pest control.
• Support coordination of Food Safety & QA department meetings.
• Continued maintenance of updating the Food Safety business continuity & crisis management plans to ensure they are current.
• Maintain partnerships and relationships within the corporation to identify the right resources/associates to serve customers and other associates.
• Track sanitation vendor services each period.
• Process vendor invoice payments so they are paid within required due dates.
• Recap and track regulatory information (i.e. notifications from state officials). Maintain back-up files by state. Draft plan of action responses to the State for the Director's approval when required by the State.
• Responsible for updating documents on Food Safety webpage on Leo.
• Build EMS/Task Management projects to be launch when needed/required by Food Safety department.
• Lend support to FSMA Steering Committee (i.e. take meeting notes & publish, schedule meetings & locations, etc.)
• Lend support to FDA Menu Labeling meeting coordinator.
• Track and publish weekly Ecolab Auto-Fail report when reporting out is necessary.
• Track and publish weekly Food & Workplace Safety Update when reporting out is necessary.

Requirements

Basic Qualifications:
• 1-3 years successful experience handling administrative support
• High school diploma or equivalent.

Preferred Qualifications:
• Associates or Bachelor’s degree or equivalent
• Basic understanding of Retail and/or Distribution operations and systems.
• Knowledge of financial impact of activities on company and ability to communicate same.
• Knowledge of laws and regulations regarding food safety

Skills and Abilities:
• Strong organization skills with an attention to detail and accuracy
• Strong written and verbal communication skills
• Proven decision making, problem solving and analytical skills
• Ability to prioritize and effectively handle multiple tasks and projects to meet deadlines
• Self-starter with the ability to work independently in a fast paced environment
• PC Skills (Windows, Word, Excel, and EMS, LMS, Access, data management)
• Working knowledge of Outlook mail
• Familiarity with or the ability to quickly learn key food safety and/or FDA recall concepts.
• Ability to maintain confidential information in a professional manner.
• Ability to interact with associates and management at all levels of the company
