The primary role of the Food Safety Specialist is to assure the Company that s/he provides facilitation of all facets of Compliance with Quality Assurance initiatives, including Social Responsibility, Kosher Certification, Organics, Non-GMO, Labeling, Budgeting, and Communications. This would be accomplished by performing the tasks below and identifying opportunities and areas of improvement in company operations and utilize Otis McAllisterís resources more efficiently.

Essential Job Duties and Responsibilities:

  • Continuously update the definition of Quality Assurance as it applies to the Companyís Quality Assurance program and educate staff and management.
  • Serves as active member of the Quality Assurance Team with problem resolution authority.
  • Update and maintain the internal Quality Manual to assure all requirements are met (i.e., updates, revisions, policy changes, etc.) and distribute as needed.
  • Distribute Quality Manual to new suppliers and storage facilities with responsibility to collect signed acknowledgments of receipt from all suppliers and storage facilities for Company records.
  • Maintain files for all Quality Assurance and respective Compliance activities, database account and relationships independently.
  • Assist to monitor customersí accounts via independent databases.
  • Assist in performing mock recalls (semi-annual at the minimum) independently.
  • Coordinate bi-annual vendor and in-house heavy metal, pesticide and microbiological reports.
  • Serves as part of a review team for labeling compliance.
  • Researches and updates on Federal and California food safety regulations.
  • Perform administrative or office functions or non-manual work directly related to the management or general business operations and may exercise discretion on some occasions to minimize or avoid financial loss.
  • Perform on-site inspections with the authority to make independent decisions such as closing operations as necessary and other matters of significance (i.e., closure of assembly lines):
  • Prepare and maintain inspection checklists.
  • Prepare routine and timely inspection and travel reports.
  • Respond independently to Quality Assurance inquiries timely and accurately:
  • Receives, investigates and responds to Customerís claims (in-house and outside).
  • Establish and implement remedies to inquiries independently as necessary.
  • Maintains Claims Report spreadsheet
  • Education and continuing education:
  • Develop official reference library independently.
  • Participate in association training (GFSI, CCOF, NGPV, FDA-FSMA, etc.).
  • Complete on-line training (i.e., webinars) on a regular basis to stay current.
  • Prepare written summaries of all training to be included in official reference library.
  • Attend continuing education on government reporting requirements and underlying laws and regulations on behalf of the company.
  • Recordkeeping:
  • Assist in developing policies and procedures.
  • Retain up-to-date and required company records that meet all compliance requirements.

Social Responsibility:

  • Act as the liaison with UL.RS.
  • Update and maintain record of social responsibility certification of all production facilities.
  • Complete applications for annual audits and new facilities to become certified.
  • Prepare training materials for company employees on the benefits and requirements of social responsibility audits and certification

Kosher Certification:

  • Act as the liaison with kosher certification authorities (Star-K).
  • Update and maintain record of kosher letter of certifications (LOCís) of all kosher-certified production facilities.
  • Assist with Kosher audits.
  • Complete applications for new facilities to become certified.


  • Serve as the liaison with the Organic Trade Association (OTA) and CCOF.
  • Update and maintain organic records as required of all organic authorities.
  • Assist with annual organic audits.

Non-GMO Project Verified (NGPV):

  • Act as the liaison with NGPV Technical Administrator authorities.
  • Update and maintain records of NGPV products.
  • Assist with NGPV audits (if applicable).
  • Complete applications for new facilities, products to become NGPV approved.

Whole Grain Stamp:

  • Act as the liaison with Whole Grain Council authorities.
  • Update and maintain records of Whole Grain Stamp products.
  • Assist with Whole Grain Stamp audits (if applicable).
  • Complete applications for new facilities, products to become Whole Grain Stamp approved.


  • Provide budget input to various internal divisions (i.e., rice, La Sirena, etc.).
  • Forecast effects of changing laws and requirements on annual budget independently.
  • Maintain accurate and timely expense records.
  • Assist in annual budget forecasting (i.e., travel, seminars, certifications, laboratory work, etc.).
  • Maintain a list of all memberships that the company maintains including identification of responsible divisions and persons, expiration dates, and membership fees.


  • Update and maintain Master Contact List (MCL) of key contacts such as vendors, warehouses, organizations, and associations.
  • Develop and independently maintain Company Intranet site for dissemination of useful information to internal staff on a regular basis.

Essential Job Requirements and Experience:

  • Minimum of a Bachelorís Degree in Food Science and/or advanced degree in an industry-related field (preferred) from an accredited post secondary institution.
  • Minimum of three to five (3-5) years of increasingly responsible industry-related experience in similar positions within food safety compliance.
  • Food safety training in similar export/import business (food industry preferred).
  • Minimum of three (3) years of effective oversight of work of others (external/internal).
  • Ability to deal effectively and professionally with all types of individuals.
  • Excellent communication skills to include written, verbal and interpersonal.
  • High degree of accuracy, attention to detail, timely follow up, and results oriented.
  • Proficiency in Microsoft Office Suite, Microsoft Dynamics Navision, and advanced proficiency in Internet research and usage.
  • Knowledgeable in ICIX, TraQtion, Global MRL and other company database.
  • Ability to multi-task with complete accuracy is paramount for this position.
