The Business Support Associate (BSA)/HACCP Coordinator will provide general administrative and clerical support and monitor food safety requirements to ensure we are able to meet customer needs in a timely manner. Communicate effectively with plant manager, leadership, employees and suppliers. Follow defined procedures and proactively develop solutions to solve production challenges on a daily basis.

Principal Accountabilities:

General Office Duties

  • Operate office equipment, such as computers, fax machines, copiers, or phone systems. Use computers for various applications, such as database management or word processing.
  • Greet customers/visitors/callers and handle their inquiries or direct them to the appropriate persons according to their needs.
  • Create, maintain, and enter information into databases. Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents.
  • Orders office supplies monthly.

HACCP

  • Be the plant contact for FSQR communications.
  • Schedule, lead and document HACCP meetings and annual internal and external HACCP audits.
  • Lead annual review and update of HACCP Plan. Lead the review, evaluation and any necessary updates of the HACCP Plan whenever ingredient, product or process change(s).
  • Maintain the document control program including Standard Operating Procedures and Records Management.
  • Document all corrective actions and audit non-conformances and lead discussions of who, what, when for each item and continue follow-up until requirements are met.
  • Continually validate that HACCP Plan is being followed by periodic plant walk-thru and record review throughout the year.
  • Minimal travel to other plant locations for training and auditing purposes.

Production Support

  • Daily Folder Checks to maintain 100% quality. Including checking copies for correct information, completed checklists with operator signatures, checking all batch reports for alarms missing lot numbers, bucket sheets, signatures and dates.
  • Reconciling Daily Shipping and Receiving Paperwork. For Shipping: reconcile local log, load weight standard report and the loadout PIS (make sure paperwork matches all entries). For Receiving: reconcile local log, receiving control schedule and the receiving PIS (make sure paperwork matches all entries).
  • Drug Trax. Reconcile drugs by 9am and premixes by 10am. Print usage for all drug lots that were used. Maintain Q83, Q84, drug inventory count sheet & usage reports together and submit to PM or PS for review. Maintains monthly drug inventory control report.
  • Model Mill. Print out receiving log, shipping log, receiving and loadout PIS, mixing sheets, north and south pelleting sheets. Collect model mill hour sheet and have kronos hours printed to compare. Figure, enter and print out entered model mill. Complete required paperwork.
  • Manage Samples of bulk ingredients and finished feed samples. All bulk ingredients should be tracked daily. Pull samples and have ready for weekly pick up. Check the production schedule daily for the chosen finished feed to be sampled for the month.
  • Put together TLOíS and tags for the next days loads- Be sure to compare the customer name to verify. Print arrivals for the next day and put them up in the correct ingredient box.

Required Qualifications

  • Bachelorís degree from an accredited university or 2+ years of professional office experience
  • Proficient in Microsoft Office applications including Excel and Word
  • Strong analytical skills
  • Ability to multitask
  • Prior experience with customer service
  • Positive attitude and good organizational skills
  • Strong communication skills, on the phone, in person and written
  • Strong work ethic
  • Able to adjust to changing job requirements
  • Believe in continuous improvement and a challenge

Preferred Qualifications

  • Experience in the agricultural industry
  • Project management or team leader experience
  • Previous book keeping or accounting experience
  • Previous experience with AS400 systems or SAP
