Description

The Quality and Safety Coordinator is responsible for leading continuous improvement and implementation of Harry and David integrated Quality Management System. In doing so, the role will be actively engaged in supporting the organization in ensuring compliance to various quality frameworks including SQF and FDA regulatory requirements.

 

The position will take a lead role in ensuring system implementation and compliance through robust monitoring, training, auditing and reporting processes that allow for ongoing continuous improvement. This is a temp position that will likely covert to full-time in July.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Quality System Software a.k.a. GorillaDocs

  • Take a lead role to facilitate the implementation of GorillaDocs
  • Ensure data integrity of Software system through the establishment of appropriate monitoring processes, procedures and auditing of programs.
  • Provide recommendations regarding key performance indicators and enter data into GorillaDocs system and generate relevant reports.

 

Quality Programs

  • Work closely with the governing committees in the monitoring, review and issuing
  • of policies and organizational procedures.
  • Provide training for staff at all levels regarding the Quality System requirements and GorillaDocs software System for new users.

Document Management System

  • Monitor and administer the document Management System.
  • Monitor the document register and inform document owners of review timeframes.
  • Review documentation to ensure quality frameworks, forms, references and links

are established.

  • Support administrative resources across the organization to ensure consistency,

linking process and documents, removal of duplication and provide advice on efficiency related matters.

  • Maintain relevant external links and resources into the document

management system

  • Facilitate the Harry and David management team in establishing or editing necessary documents that reflect operational processes.
  • Deliver training for Quality Systems requirements.

Corrective Action Program

  • Facilitate the Corrective and Preventive Actions are documented, completed by cross functional team and completed timely.
  • Provide support to ensure data issued by stake holders is accurate and complete.
  • Provide status reports monthly to Manager

Internal Audit Program

  • Conduct, complete, and provide actionable audit reports of Quality System modules to Manager
  • Generate reports and distribute as necessary
  • Analyze data and provide recommendations for continuous improvement.

Additional Duties:

  • Provision of Monthly, Quarterly, Annual and Ad Hoc reports from GorillaDocs and other Harry and David systems
  • Maintain a schedule that identifies necessary reports, templates and timeframes.
  • Ensure reports are provided in a format that meets the needs of Managers and Committees
  • Assist with general administration functions including records management, filing and data entry.
  • Utilize various Microsoft packages including Word, Excel and Visio to prepare reports.
  • Promote and develop a culture within the team that reflects the values and care principles of Harry and David.
  • Other duties as assigned.
