Job Title: Food safety & Quality Documentation Specialist

Department: Quality

Reports to: Quality Assurance Director

Location: Rudy’s Tortillas

Replacement: Quality Control Manager and Food Safety Manager.


This position is responsible for planning, maintaining and coordinating Food Safety and Quality documentation to ensure compliance with SQF, customers and regulatory agencies. Assists all departments in the accomplishment of documenting conformance to all established Food safety and Quality requirements and reasonable expectations of internal and external customers. Assists in the performance of quality education, quality performance measurements and quality improvement directions. Maintains policies, procedures and documentation that assure the highest level of quality and customer satisfaction.

Essential Duties and Responsibilities include but not limited to the following:

  • Technical Services (Food Safety, Quality, R&D and Regulatory Compliance) Document Control:
  • Ensure that only current Technical Services policies, procedures, work instructions, forms, specifications and records are actively being used.
  • Ensures that obsolete documents are archived and removed from active use
  • Ensures that only authorized copies of controlled documents are issued.
  • Ensures that all documents are correctly coded according to the Document Control SOP.
  • Technical Services Document Maintenance:
  • Manages the master file of all Food Safety and Food Quality documentation.
  • Files and Maintains Technical Services documents organized and easily and quickly accessible by users
  • Maintains documentation registers with cross-references for easy location of documents and referencing to SQF and regulatory agency codes.
  • Technical Services Documentation Development
  • Assists Technical Services Department Director and Managers in creating policies, procedures, work instructions, forms and specifications.
  • Assists Technical Services Department Director and Managers in preparation of reports including routine reports, meeting minutes, statistical charts, presentations and other pertinent documents.
  • Participates in Technical Services Department audits, inspections, meetings and other activities to capture information to be reported in minutes, records, and reports.

Education and/or Experience

  • Bachelors in Food Science or Equivalent or
  • Associates Degree with more than 3 years’ experience in a Food Safety and Quality environment or
  • High School Diploma with more than 5 years’ experience.
  • Must be SQF Practitioner and PCQI Certified.
  • Understand the scope of SQF edition 7.2 and 8.0 for Food Safety and Food Quality.

Language Skills

  • Excellent written communication skills including the ability to read, write and comprehend complex instructions, short correspondence, memos, presentations, reports, specifications, forms.
  • Ability to write full and detailed procedures and manuals.
  • Deep knowledge of SQF Code and documentation requirements.
  • Bilingual English and Spanish preferred.
  • Excellent verbal communication skills including the ability to present information in one-on-one and small group situations to customers, clients, regulators and coworkers.


  • High mathematical skills including the solution of complex problems, statistics, algebra, equation solving.
  • Must understand the current principles and practices of HACCP to the current edition of the Codex Alimentarius Commission Guidelines or to the USA National Advisory Committee on Microbiological Criteria for Foods (NACMCF) Guidelines.
  • Detail oriented with excellent organization skills for filing, maintaining and controlling SQF and other Technical Services documentation.
  • Proficient in Microsoft Office applications such as Word, Excel, PowerPoint, Visio, and databases.
  • Ability to work in a team environment and individually as required.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, and diagram or schedule form.
