every day. As the sr administrative assistant to
two VPs, you will be an integral part of this team.
As a sr administrative
assistant, you will…
- Support
two VPs in GFSQR and represent the leaders and their teams with a high
level of interpersonal savvy and efficiency
- Forward-thinking,
proactive, reliable, and act with integrity
- Collaborates
with other assistants supporting executive leadership
- Organizes
and schedules team meetings, arranges for live and telepresence
audiovisual equipment, and sets up meeting facilities
- Schedules
executive domestic and international travel in compliance with existing
policies and procedures. Proactively addresses all aspects of the
executive's travel to ensure productivity and safety
- Actively
engages with the executive's direct report team to ensure alignment of
priorities and open communication paths
- Comfortably
engages with external and global networks
- Works
with facilities department in planning and organizing team space
maintenance and facilities moves
- Organize,
host and facilitate activities such as team and cross-functional
meetings, conferences and department activities (passion for the FUN!)
- Directs
and executes complex administrative projects including coordinating,
tracking or analyzing budgets; researching information to respond to
questions; updating databases and organizational charts; creating
monthly reports or analyses; organizing large volumes of materials. May
research background material and collect data for reports, meetings,
events and correspondence.
- Utilizes
advanced technical skills to create PowerPoint presentations, dynamic
charts, tables, graphs and presentation materials, sometimes containing
confidential content, ensuring that the final product has been edited
for spelling, grammar and layout
- Advises
department in awareness of and compliance with company policies and
procedures
- Takes
initiative to provide training and coaching when appropriate
- Supports
executives, department, and administrative team in coffee education as a
part of Starbucks core
We’d love to hear from people with:
- Progressive
administrative experience 7-9 yrs.
- Providing
support to executive level management or equivalent 7-9 yrs.
- Project
management 7-9 yrs.
- Event
management experience 7-9 yrs.
- Fast-paced
environment 7-9 yrs.
- Advanced
proficiency in Microsoft Office Suite, expert PowerPoint skills
- Ability
to handle confidential and sensitive information
