Quality Assurance Manager at Organic Food Company




Well-established, fast-growing organic food company seeking Quality Assurance Manager to join our team. This position is full-time, comes with a great benefits package and is located in our Sebastopol facility.




The Quality Assurance (QA) Manager oversees quality assurance in production and quality assurance from raw materials through post marketing surveillance.


The Quality Assurance Manager is responsible for establishing and enforcing quality standards, providing technical and regulatory services, and achieving operational efficiencies in the procurement and production of organic and natural goods for the Company. This position supports continuous quality improvement of finished goods with all production team categories (yogurt, kefir, cream cheese, sour cream and cheese) through reinforcement of product quality and food safety programs, creation of specifications, and performance and oversight of various auditing and investigation actions.


This position manages the Quality Assurance team and assists the Chief Operating Officer (COO) as needed, in providing oversight and direction to other operations personnel.  The QA Manager supports and interacts with all departments and other divisions of the Company. The QA Manager reports directly to the COO.



•Interact with production and department managers to create a cohesive, well run quality assurance program for the creamery.

•Work and manage direct reports in a style that is team oriented, taking a "hands on" approach, and teaching by example.

•Run the quality assurance program so that it is efficient, aligns with company goals and objectives and ensures consumer safety.

•Constantly analyze systems and procedures for possible improvements.

•Maintain high quality standards and excellence at every level so products meet customer expectations.

•Design control systems that verify product design specifications and parameters from Marketing, Product Development and Operations so that products can be made and correctly verified.

•Constantly strive for self-improvement and education to help the department.

•Maintain excellence at every level.

•Create and maintain a clean and safe working environment. 


Your main responsibilities include but are not limited to the following:


Key Responsibilities:


Quality Assurance:

•Oversee and assist QA team with critical/technical review of documents, test results, procedures and production equipment.

•Conduct testing and analysis of current and newly developed products to determine functional, nutritional, and/or organoleptic properties and performance.

•Ability to manage and maintain confidential information including R&D projects, proprietary formulations and Private Label clients.

•Ability to apply technical knowledge to troubleshoot production issues for multiple product lines.

•Inspect the quality of equipment and machinery.

•Function effectively in an area of shifting priorities and demands.


Technical, Research & General Product Information:

•Review certificates of analysis and results of laboratory tests for compliance to specifications.

•Compile and evaluate historical test results to set standards or implement changes to improve operational efficiencies.

•Research and respond to various quality and technical inquiries.

•Conduct and participate in product sensory evaluations.

•Complete customer questionnaires.

•Perform back-up support to the analytical laboratory, when needed.  Perform all analytical functions.

•Develop, implement, and support quality systems to improve product quality and safety (HACCP, etc.).

•Establish specifications for raw materials, components, work-in-progress, and finished goods.

•Drive continuous improvement throughout the supply chain by managing resource qualification, ensuring compliance to company standards, and approving or rejecting raw materials.

•Ensure specifications for raw materials, components, work-in-progress, and finished goods align with local, state and federal regulations, including labeling requirements.


Auditing & Inspection:

•Plan and conduct scheduled audits (production site, suppliers).

•Provide summary of audit observations and findings, follow-up or corrective actions, and confirmation of actions completed.

•Identify gaps and corrective actions to ensure compliance with applicable requirements.

•Conduct detailed product inspections, review for compliance to specification, and document findings.

•Gather, record, and maintain finished product retention samples & systems.

•Assess potential new materials, packaging, and vendors.

•Ensure Compliance with Regulations through Auditing & Quality Systems.


R&D / Product Development:

•Work closely with other departments during the commercialization of new products to assure material qualification and adequate specification development.

•Conduct testing and analysis of newly developed products to assist in determining functional, nutritional, and/or organoleptic properties and performance.


Product Non-Conformances & Complaints:

•Investigate product non-conformances, conduct material reviews for complaints, and document findings and responses.

•Ensure complaints are handled in a timely manner.

•When appropriate, determine root cause, advise corrective actions, and verify implementation by production personnel.

•Manage product holds, reprocessing actions, and final disposition processes for noncompliant resources.

•Create responses and corrective action reports for customers, Consumer Relations or other internal departments as needed.


•Evaluate employee performance through ongoing feedback (both positive and negative) and annual performance reviews.

•Oversee that the disciplinary process is initiated and completed when necessary. This includes but is not limited to following standard procedures, food safety, quality, safe use of equipment, GMP's, etc.

•Perform coaching of Quality Assurance employees to enable them to reach their full potential and to continuously develop their skills.

•Provide guidance and direction to Quality Assurance Department lead. Develop supervisory and leadership skills.


Requirements and Skills:

-Bachelor's degree from an accredited college or university in an area of science

-Outstanding verbal and written communication skills

-Strong interpersonal skills: professional, courteous, friendly, empathetic

-Detail oriented, with an ability to prioritize in a fast-paced environment

-Proficient in Microsoft Office programs

This is a full-time, salaried position and is classified as exempt. We offer a competitive wage commensurate with experience, and a comprehensive benefits package. The benefits include 401K with a company match (max of 4% of employee's wages). We cover 100% of the employee and their family's health, dental, vision and life insurance premiums. Our health insurance offers low co-pays for such services as doctor’s visits and prescriptions. We also offer paid time off (PTO), and a designated amount of free product for employees. All benefits are subject to a 90 day introductory period.
